HRTC Updates
HR process changes and update details.
In an effort to streamline and improve HR services, the following processes are changing:
- Requests for new positions
- Requests for backfills
- Requests for job duties changes
- Requests for equity analyses
We will remove the administrative burden of communicating these requests through the Cornerstone system or through a PAF. In addition, the approval process will be streamlined to expedite necessary changes. Starting on September 27, the process will begin with a consultation with Human Resources. Consultation requests will be submitted through Google forms to ensure a more accurate and efficient process. All forms can be found in their respective areas in our Managers Toolkit.
Job Duties Changes & Equity Analysis
Changes to an employee’s job responsibilities or compensation will no longer require a PAF initiated by the department and instead will utilize a Google form that will result in a consultation with HR. From there, HR will determine the appropriate action and initiate an approval form.
New Positions and Backfill
Posting Positions
- To post any position you will not need to create a requisition in Cornerstone. Instead, a Google form should be completed, this will result in a consultation with our HR team.
- Once your consultation has taken place, the HR Talent Acquisition team will post your position. They will reach out to the hiring manager with an update on the posting and also share recruitment resources, and in some cases, schedule time to discuss a recruitment strategy.
Making an Offer
- You should not make any verbal offers of employment without consulting HR first. After you select a final candidate, and you are ready to extend an offer of employment, please contact the Talent Acquisition Team to discuss next steps with you: careers@njit.edu. The offer letter will then be drafted and routed via Cornerstone for the appropriate approvals.
- A PAF is no longer needed to hire someone (internal or external candidate) into an open (posted) position. This process will now be automated in Cornerstone.
Please note, this process does not apply to Tenure/Tenure-Track Faculty, University Lecturers and Professors of Practice offers; these will continue to be approved via the Office of the Provost.
Approving an Offer
- The offer letter will be done electronically and require the Division Head and VP’s electronic approval. The request will be sent via email through Cornerstone; Grants and Contracts will approve, if applicable.
- The Hiring Manager, appropriate administrative staff, and the Budget office will be notified of the acceptance of the offer details via email once the candidate electronically records their decision (accepting the offer/ denying the offer). Please review "How to make an offer" for more details.
Employee Onboarding
The onboarding process will now take place electronically through Cornerstone! Once the candidate officially accepts the offer, the following steps will occur:
- Background Check/Onboarding begins:
- HR will begin the background process, including reference checks
- HR will begin the electronic onboarding process to collect the required paperwork
- You will be notified once these steps are complete and provided with the employee’s NJIT ID#
- You will be sent “onboarding checklists,” this is useful to ensure your new hire is appropriately set up for success prior to their start
*An important note regarding onboarding: In order to streamline our processes, all onboarding will be done utilizing Cornerstone. In order to do this, ALL new hires must apply to a posted position. We understand that historically there have been cases where someone may be hired without a posting (Adjuncts), however, going forward, they will be required to apply to a posted position. NJIT has partnered with LinkedIn Learning, and all employee and faculty have the ability to access thousands of courses related to their career interests. All employees will receive an email by the end of this week directly from LinkedIn with information on how to access the learning resources.
